Privacy policy

The Japan Overseas Cooperative Association (JOCA) is active in international cooperation and international exchange efforts both in Japan and overseas. JOCA regards the safeguarding of confidential personal information as a major management issue and has established this Privacy Policy as a set of standards with which all of its executives and staff must comply. Its goal is to rigorously safeguard personal information and to ensure appropriate handling of such information at all times.

1. Handling of personal information

(1) Obtaining and using personal information

  1. Personal information is sought only after first clearly communicating the purpose of soliciting such information and obtaining the consent of the individual concerned. Once obtained, personal information is used solely for the purpose indicated. Appropriate measures must be taken to ensure this information is not used for any other purpose.
  2. JOCA uses the personal information provided by job applicants to make hiring decisions and notify applicants; personal information on executives and staff to implement human resource management and related activities; personal information provided by members to review applications for individual membership, to make contact with them, and to send printed materials and information on projects; and personal information provided by project participants to achieve the ends listed below.

Purposes of use of personal information on project participants:

  1. To send printed materials and project information on international cooperation and exchange
  2. To review applications to participate in seminars or events, on dispatch of instructors, and other projects related to international cooperation and exchange and to make contact with applicants
  3. For confirmation or other communication concerning the lending and sale of materials such as teaching materials and publications related to international cooperation and exchange
  4. For confirmation or other communication concerning the implementation of related activities when providing services such as recruitment, selection, and training related to international cooperation and exchange

(2) Entrusting the handling of personal information to other parties

When entrusting the handling of personal information to other parties, JOCA selects parties meeting adequate standards to ensure the protection of such information; specifies contractually or otherwise that these standards are maintained; and provides guidance and control on the handling of such information.

(3) Provision of personal information to third parties

Except as required under laws and regulations, JOCA shall not provide personal information to any third parties without first obtaining the consent of the individual in question.

(4) Requests for disclosure, correction, deletion, or cessation of use

JOCA promptly complies with requests from individuals concerning their personal information, including requests for disclosure. For guidance on responding to various requests, including requests for disclosure, see Personal Information Subject to Disclosure and Requests for Disclosure.

2. Compliance with laws, regulations, and other requirements

JOCA complies with all laws and regulations, national guiding principles, and guidelines, as well as other rules concerning safeguarding of personal information.

3. Personal information security measures

JOCA seeks to implement appropriate security measures to counter various risks, including unauthorized access to, as well as leakage, loss, or alteration of personal information. Additionally, it seeks to implement prompt corrective measures in the event of problems.

4. Administrative systems

Under the authority of the Privacy Administrator, JOCA will appoint individuals responsible within each section to ensure personal information is appropriately administered. Additionally, it will provide continual training on related issues for executives and staff.

6. Continual improvements in management systems established to safeguard personal information

As part of efforts to implement this Policy, JOCA will continue to revise and improve the management systems established to safeguard personal information based on various factors, including audit reports and changes in social conditions.
